Supplier Code of Conduct


1. Purpose

This Supplier Code of Conduct sets out the standards and behaviours expected from all

subcontractors, suppliers, and service partners (“Suppliers” hereafter) working with J Booth FM.  


As a project management led FM business, we rely on trusted Suppliers to deliver safe,

highquality, ethical, and sustainable services on our behalf. Compliance with this Code is a

condition of doing business with us.


2. Legal and Regulatory Compliance

All Suppliers must:


  • Comply with all applicable UK laws, regulations, and industry standards
  • Hold all required licences, permits, and accreditations relevant to their trade
  • Ensure all employees and operatives have the right to work in the UK
  • Maintain appropriate insurance cover, including public liability and employer’s liability


3. Health, Safety & Environment

We expect Suppliers to uphold the highest standards of health, safety, and environmental

performance. Suppliers must:


  • Operate in accordance with the Health and Safety at Work Act 1974 and all relevant regulations
  • Provide trained, competent operatives with appropriate PPE and equipment
  • Report incidents, near misses, and hazards immediately
  • Follow site rules, risk assessments, and method statements at all times
  • Minimise waste, pollution, and environmental impact during service delivery
  • Use sustainable materials and processes aligned to the specification and scope of works


4. Ethical Conduct and Business Integrity

Suppliers must conduct business ethically and transparently.

This includes:


  • Zero tolerance for bribery, corruption, fraud, or facilitation payments
  • Honest and accurate reporting of time, materials, and costs
  • Protecting confidential information belonging to us or our clients


5. Labour Standards and Human Rights

Suppliers must uphold fair and safe working conditions.

They must ensure:


  • No forced, bonded, or child labour
  • Fair wages that meet or exceed legal requirements
  • Working hours that comply with UK law
  • A workplace free from discrimination, harassment, or abuse
  • Proper vetting and safeguarding where work involves vulnerable people, service users or sensitive environments


6. Quality and Service Delivery

Our reputation depends on the performance of our Suppliers. Suppliers therefore must:


  • Deliver services to the agreed specification, schedule, and quality standards
  • Ensure all operatives are qualified and competent for the tasks assigned
  • Use materials and equipment that meet required standards
  • Communicate proactively about delays, risks, or issues
  • Participate in audits, inspections, and performance reviews, when requested


7. Sustainability and Social Value

Suppliers are expected to support our commitment to sustainability and community benefit. This includes:


  • Reducing carbon emissions and energy use, where possible
  • Minimising waste and increasing recycling
  • Supporting local employment and skills development
  • Contributing to community initiatives or volunteering activities, when appropriate


8. Data Protection and Information Security

Suppliers must:


  • Comply with the UK GDPR and Data Protection Act 2018
  • Protect personal data and client information from unauthorised access or disclosure
  • Report data breaches immediately
  • Use secure systems and processes when handling sensitive information


9. Subcontracting and Supply Chain Management

Suppliers must not subcontract any part of their work without prior written approval from J Booth FM. Where subcontracting is approved, Suppliers must:


  • Ensure their Suppliers meet the same standards set out in this Code
  • Remain fully responsible for the performance and conduct of their supply chain


10. Monitoring, Compliance and Consequences

We reserve the right to:


  • Audit Supplier performance and compliance
  • Request evidence of training, qualifications, or policies
  • Investigate concerns or breaches of this Code


Non‑compliance may result in:


  • Suspension of work  
  • Removal from our approved supplier list  
  • Termination of contract  


11. Acknowledgement

All Suppliers must confirm in writing that they:


  • Have read and understood this Supplier Code of Conduct  
  • Agree to comply with its requirements  
  • Will ensure their employees and Suppliers do the same.
